Free tree service invoice template
A tree service invoice bills the work from your approved estimate: each tree removed or trimmed on its own line, stumps ground, debris and wood handled as agreed, and any equipment or crew hours the estimate listed. Add extra work the customer OK'd, subtract the deposit, and show the balance due. Print it or save it as a PDF. Built for tree services and arborists who bill from an estimate.
Nothing leaves your device. Everything you type into the invoice stays in this browser tab. It isn't uploaded, saved, or sent anywhere, so refreshing or closing the page clears it. Save as PDF before you close it.
What a tree service invoice should spell out
The trees are down and the yard is cleaned up, but a single total doesn't show which trees you took, what happened to the wood, or why the bill is higher if a limb over the garage was added on the day. The invoice should match the estimate line for line. A few habits help:
- Point back to the estimate. Put the estimate number and the job date or dates in the header, so the customer can lay the two side by side.
- Pricing basis, as the estimate stated. Per tree, by size, per hour, or one job price. If the estimate gave one price for the whole job, bill that price, and don't break it into new lines the customer hasn't seen.
- If the estimate priced each tree, one line per tree, and say which tree. Say where it is, for example "back left corner by the shed", so the customer can match every line to a tree in the yard.
- Removal, trimming, and stump grinding on separate lines. Bill stumps the way the estimate did: per stump, by diameter, or one price. If stumps weren't part of the job, say "Stump grinding: not included" so no one assumes it was. Say what happened to the grindings as agreed: left in the hole, or raked out and hauled away.
- Debris and wood, as agreed. Chipped and hauled, chips left, wood cut to the length agreed and stacked, logs left, or hauled away. If stumps weren't ground, note how low they were cut, as the estimate said. If the estimate had a dump or disposal fee, bill it on its own line.
- Crew hours, only if the estimate priced by the hour. Show the hours worked and the rate from the estimate, so the customer can check the math.
- Equipment and permit fees, only if they were on the estimate. A crane, bucket truck, lift, or ground mats each get their own line, billed the way the estimate stated, including any minimum charge it listed.
- Storm or after-hours rate, only if the customer agreed to it. Note when they agreed. Some states limit price increases during a declared emergency, so check your local rules before you charge a storm rate.
- Extra work on its own lines, with the OK noted. For example "approved by text, 10/14".
- The yard, as agreed. If the estimate said how you'd protect the lawn and driveway or what cleanup you'd do, repeat it the same way, and note anything you agreed to fix.
- Photos with the invoice. Before and after photos sent with the invoice show the customer what they're paying for.
- Deposit paid, the balance due, and a real due date. If the customer paid a deposit, subtract it so the balance due is the biggest, clearest number on the page. (Thinking about asking for one? See how to ask for a deposit.) "Due on receipt" or an actual date is easier to follow up on than "net 30."
- How to pay, in one step. Put your own payment link on the invoice (from the payment service you already use), plus who checks are payable to. The fewer steps, the sooner you get paid.

Questions
How do I invoice several trees on one job?
If the estimate priced each tree, give each tree its own line and say which tree it is, the same way it did, for example "Tree 1, back left corner by the shed." Then the customer can match every line to a tree in the yard.
Should stump grinding be its own line?
Yes, if the estimate listed it that way. Bill it the way the estimate priced it, per stump or by diameter, and say what happened to the grindings, left in the hole or hauled away, as you agreed.
How do I bill crew hours on a tree job?
Only if the estimate priced the work by the hour. Show the hours worked and the hourly rate from the estimate, so the customer can check the math.
Do I add a permit fee to a tree service invoice?
Only if the permit fee was on the estimate. Permit rules for tree work vary by city and county, so check your local rules before you quote.
