What to put on an invoice
A clear invoice gets paid faster because the customer doesn't have to ask what it's for or how to pay. Cover these:
- Invoice number and date. Number every invoice in order (1001, 1002...) so you and the customer can refer to it, and so your records line up at tax time.
- What the work was. List the labor and materials with a quantity and price for each, matching the estimate the customer approved. If the job changed, add the change as its own line.
- Deposit already paid. Subtract any deposit so the customer sees the balance that's actually left.
- Due date. "Due on receipt" or a specific date. A date is easier to follow up on than "net 30" with someone who doesn't use that term.
- How to pay. Spell out every way you accept payment: your own card payment link, a check made out to your business name, or a business payment profile. The fewer steps, the sooner you get paid.
This is a general template, not legal or tax advice. Rules on invoicing, late fees, and sales tax vary by state and trade, so check what applies to you.
