Free window cleaning invoice template
A fill-in invoice for residential window cleaning: a one-time wash, a move-in or move-out clean, or a recurring visit. It has lines for outside and inside glass, second-story windows, screens, tracks and sills, and hard-water treatment. Type it in on this page, then print it or save it as a PDF to send. The gray hints in each line are only suggestions and don't print.
Nothing leaves your device. Everything you type into the invoice stays in this browser tab. It isn't uploaded, saved, or sent anywhere, so refreshing or closing the page clears it. Save as PDF before you close it.
What a window cleaning invoice should spell out
The glass is clean, but a single total doesn't show how many windows you did, whether the inside was included, or why the screens cost extra. The invoice should match the estimate line for line and add up without a phone call. A few habits help:
- Point back to the estimate. Put the estimate number and the service date in the header, so the customer can lay the two side by side.
- Pricing basis, as the estimate stated. If the estimate priced by the window or by the pane, bill the same way and show the count. If it gave one price for the whole house, bill that price, and don't break it into new lines the customer hasn't seen.
- Outside and inside on separate lines. If the estimate priced outside glass and inside glass separately, keep them apart on the invoice, so it's clear which sides were done.
- Second-story, ladder, and large windows, as estimated. If upper-floor windows, picture windows, or French door panels were priced differently, bill them on their own lines with the count shown.
- Screens, tracks, and sills, only if they were on the estimate. Bill screen washing, track vacuuming, or sill wiping only if the customer picked it on the estimate or OK'd it later.
- Hard-water spots, as the estimate described them. If the estimate said hard-water or mineral stains might lighten without coming out fully, describe the result in the same plain terms. Don't describe results the estimate didn't promise.
- Extra windows added on site, on their own lines. If the customer asked for the garage windows or a skylight while you were there, list them separately and note that they OK'd it and how, for example "approved in person, 10/14".
- Problems that were there before. Repeat anything you noted before you started, such as cracked panes, failed seals that look foggy between the glass, scratched glass, or torn screens, so the customer knows you didn't cause it.
- Recurring visits by date. For a monthly or quarterly schedule, put each visit's date on its own line, or bill one visit per invoice, the way the estimate set it up.
- Before and after photos with the invoice. A few photos sent with the invoice answer most "did you do the back?" questions before anyone asks.
- Deposit paid, and the balance due. If the customer paid a deposit, subtract it so the balance due is the biggest, clearest number on the page. (Thinking about asking for one? See how to ask for a deposit.)
- A real due date. "Due on receipt" or an actual date is easier to follow up on than "net 30."
- How to pay, in one step. Put your own payment link on the invoice (from the payment service you already use), plus who checks are payable to. The fewer steps, the sooner you get paid.
- If it's late, a polite reminder. A short, friendly note with the invoice attached and the payment link again usually does it. See how to follow up on an unpaid invoice for wording.
