Free painting invoice template
A fill-in invoice for painting jobs: interior rooms, ceilings, trim and doors, or exterior siding. Type it in on this page, then print it or save it as a PDF to send. The gray hints in each line are only suggestions and don't print.
Nothing leaves your device. Everything you type into the invoice stays in this browser tab. It isn't uploaded, saved, or sent anywhere, so refreshing or closing the page clears it. Save as PDF before you close it.
What a painting invoice should spell out
The walls look great, but a single total doesn't show which rooms it covers, how many coats went on, or why the bill is higher than the estimate. The invoice should match the estimate line for line and add up without a phone call. A few habits help:
- Point back to the estimate. Put the estimate number and the job date or dates in the header, so the customer can lay the two side by side.
- One line per room or surface, worded like the estimate. Living room walls, hallway ceiling, kitchen trim and doors, or the front of the house each get their own line, in the same words the estimate used.
- Coats and paint, as the estimate stated. Show the number of coats and the paint product or supplier the estimate named, so the customer can see they got what they agreed to.
- Prep and repairs on their own lines. Patching, caulking, sanding, scraping, or washing go on separate lines if the estimate priced them separately, not folded into the painting.
- Materials, only as the estimate said. If the estimate billed paint and supplies separately, show them on their own lines. If the price included materials, don't add a materials line now.
- Change orders on their own lines, with the OK noted. An extra room, a color change, primer, or an extra coat that came up on site goes on its own line, with a note that the customer OK'd it and how, for example "approved by text, 10/21".
- Touch-ups, as agreed. If you agreed to a touch-up visit after the customer walks through, say so in the notes and whether it's included or billed.
- Older homes: note lead-safe work. If the home was built before 1978 and the job disturbed painted surfaces, note in the notes that lead-safe work practices were followed where they were required. The EPA's lead information page has more on lead and lead-safe work.
- Deposit paid, and the balance due. If the customer paid a deposit, subtract it so the balance due is the biggest, clearest number on the page. (Thinking about asking for one? See how to ask for a deposit.)
- A real due date. "Due on receipt" or an actual date is easier to follow up on than "net 30."
- How to pay, in one step. Put your own payment link on the invoice (from the payment service you already use), plus who checks are payable to. The fewer steps, the sooner you get paid.
- If it's late, a polite reminder. A short, friendly note with the invoice attached and the payment link again usually does it. See the follow-up section of how to write an invoice that gets paid on time for wording.
